What is an ATS, really?
An Applicant Tracking System (ATS) is software that companies use to collect, sort, and search job applications. When you apply through a company's careers page or a job board like Naukri or LinkedIn Easy Apply, your resume usually doesn't land directly on a recruiter's desk — it gets pulled into an ATS first, which extracts your text into structured fields (name, contact details, work history, education, skills) so recruiters can search and filter candidates the same way you'd filter products on a shopping site.
Larger companies and staffing agencies rely on this heavily simply because of volume — a single popular job posting can attract hundreds or thousands of applications, and no recruiter is reading all of them line by line. The ATS doesn't "reject" you with some pass/fail score the way a lot of career-advice articles imply; more often, it either parses your resume correctly (so a recruiter searching for "React developer, 3 years" finds you) or parses it badly (so your experience shows up blank, garbled, or missing, and a recruiter searching for the right terms simply never finds you at all). That distinction matters — the goal of an "ATS-friendly" resume isn't to trick a robot, it's to make sure your information survives the trip from PDF to database correctly.
How an ATS actually reads your resume
Most modern systems extract text from your file (PDF or Word) and then try to map that text onto fields: contact info, job titles, companies, dates, degrees, skills. Two things determine how well this works:
- Can the software extract the text at all? Text inside images, text boxes, headers/footers, and some heavily designed graphic templates often doesn't extract cleanly — some systems skip it entirely.
- Can it tell what each piece of text means? A layout with multiple columns, tables, or unusual section headers can cause the parser to read left-to-right across columns instead of down each one, scrambling your work history — a job title and company can end up merged with an unrelated date from the next column.
This is why two resumes with identical content can perform completely differently depending purely on layout — one parses cleanly into the ATS's fields, the other becomes a jumbled mess that no recruiter search will ever surface.
Formatting rules that keep you safe
These aren't stylistic preferences — each one addresses a specific, well-documented way ATS parsers commonly fail:
Use a single column
Multi-column and sidebar layouts (common in visually striking "creative" templates) are the single biggest cause of parsing errors. Stick to one column, top to bottom, in the order a human would naturally read it.
Avoid tables and text boxes
Content inside a table cell or a floating text box is frequently skipped or read out of order by parsers. If you want to show a skill next to a proficiency level, use plain text with a separator rather than a table.
Skip headers and footers
Some ATS software ignores header/footer regions of a document entirely. Never put your name, contact details, or any section content there — keep everything in the main body.
Use standard fonts
Stick to fonts that are common on every system — Arial, Calibri, Georgia, Times New Roman, or a widely available sans-serif like the templates in most resume builders use. Decorative or unusual fonts can render as broken characters when converted.
Export as a proper PDF (or Word, if requested)
A PDF generated from real text (not a scanned image or a "print to PDF" of a design tool that flattens text into shapes) keeps your text selectable and extractable. If a job posting specifically asks for a .docx file, provide one — some older ATS software parses Word documents more reliably than PDFs.
Tip: A quick real-world test — open your exported resume, select all the text, and copy-paste it into a blank text document. If the result is readable, in the right order, with nothing missing, it will very likely parse correctly. If it comes out scrambled, an ATS will probably scramble it too.
The section structure ATS software expects
Parsers are trained to recognize conventional section headers and a predictable order. Wildly creative section names ("My Journey," "Superpowers") can go unrecognized. Stick to standard, unambiguous headings:
- Contact Information — name, phone, email, city, and optionally LinkedIn, placed at the very top in plain text (not inside a graphic or header).
- Summary or Professional Summary — a short 2-4 line overview (see our guide to writing a resume summary for exact examples by field).
- Work Experience or Professional Experience — reverse chronological order (most recent job first), with job title, company, location, and dates clearly separated on their own line per entry.
- Education — degree, institution, and graduation year.
- Skills — a plain list of relevant technical and professional skills, not a graphic skill-bar or star rating (those often don't extract as text at all).
- Certifications / Projects (optional, where relevant) — especially useful if you're earlier in your career; see our resume format guide for freshers.
Using keywords without keyword-stuffing
Because recruiters search the ATS database using keywords pulled straight from the job description, your resume genuinely does need to contain the specific terms they're likely to search for — job titles, tools, technologies, certifications, and skills mentioned in the posting. This is not the same as stuffing your resume with a hidden wall of keywords (a tactic that, contrary to old advice you may have seen, tends to look obviously spammy to a human reviewer and adds no benefit with modern parsers).
The reliable approach: read the job description carefully, and if you genuinely have the skill or experience it's asking for, use its exact wording somewhere in your bullet points — naturally, in context, describing what you actually did. If a posting asks for "stakeholder management" and you've only ever described the same skill as "worked with clients," rephrase it to match the language recruiters are actually searching for.
Common mistakes that silently break parsing
Photos and icons in the contact block. A profile photo or little phone/email icons next to your contact details are usually embedded as images — some parsers skip that whole region, which means your phone number and email never make it into the system at all.
Dates written inconsistently. Mixing formats like "Jan 2023 – Present" and "2022/03 - 2023" across entries can confuse date extraction. Pick one format and use it everywhere.
Abbreviating your only mention of a skill. If you only ever write "ML" and the job posting searches for "machine learning" (or vice versa), you can miss a match. Where space allows, spell out the full term at least once.
Saving as an image-based PDF. Some design tools "flatten" a resume into an image when exporting, which looks identical to a human but contains zero extractable text for a parser.
Quick checklist before you submit
- Single column, no tables, no text boxes, nothing in headers/footers
- Standard section headings (Experience, Education, Skills, Summary)
- Reverse chronological work history with clear titles, companies, and dates
- Real, extractable text — not a flattened image — exported as PDF or Word
- Key terms from the job description reflected honestly in your bullet points
- Contact details in plain text, not inside a graphic or header/footer
